Overview

UIT University (UITU) invites application for the position of  “Officer Human Resources” who will support day-to-day HR operations and help maintain a positive and well-organized working environment. The role involves assisting with recruitment, preparing payroll, attendance monitoring, talent sourcing, employee relations, record keeping, system updates, staff support, and smooth coordination across departments within the institution.

Responsible For
  1. Attendance & Leave Management
    • Accuracy in maintaining daily attendance records.
    • Timeliness in updating leaves, absences, and adjustments.
    • Compliance with university policies in leave processing.
    • Ability to identify discrepancies and resolve attendance-related issues.
    • Proactiveness in communicating attendance matters to departments.
 
  1. Recruitment & Exit / Relieving Processes
    • Timely processing of recruitment documentation and onboarding formalities.
    • Quality and accuracy of appointment letters, joining reports, and personnel files.
    • Smooth coordination between departments during recruitment cycles.
    • Efficiency in exit formalities: clearance, final documentation, and relieving letters.
    • Professional handling of candidate and departing employee interactions.
 
  1. Insurance Claims & Benefits Processing
    • Accuracy and completeness in processing health and life insurance claims.
    • Liaison effectiveness with insurance provider for timely claim settlements.
    • Maintaining proper documentation for audits and records.
    • Providing timely guidance to employees on insurance procedures.
 
  1. Loans, Funds, and Employee Benefits
    • Timely processing of loan, provident fund withdrawal, and other benefit applications.
    • Ensuring compliance with relevant policies and statutory rules.
    • Clear communication of requirements to employees.
 
  1. Employee / Personnel Record Management
    • Accuracy and completeness of employee data in HRMIS or files.
    • Regular updating of records regarding transfers, promotions, and changes.
    • Maintaining confidentiality and secure handling of personnel files.
 
  1. Training & Development Processing
    • Efficiency in registering employees for internal/external training sessions.
    • Timely coordination with trainers, vendors, and departments
    • Maintaining records of training attendance and feedback.
    • Supporting HR initiatives on capacity building.
 
  1. HR Service Delivery
    • Response time to employee queries.
    • Quality of solutions provided to HR-related problems.
    • Customer service approach toward faculty and staff.
    • Any other task assigned by the supervisor.
Qualification & Experience Requirements
Qualification
MBA / BBA (16 years) or an equivalent Master’s or Bachelor’s qualification in Human Resource Management, Business Administration, or a related field from an HEC-recognized institution.

Experience
Minimum 3-5 years of relevant experience in HR operations, preferably in the higher education institutions (HEIs).
